This template is a convenience, not legal or tax advice.
A clear invoice gets paid faster because the client can check every line. Include these details:
This template is a general line-item invoice, so it fits many kinds of work. If you need a construction invoice template, a handyman invoice template or an electrician invoice template, you can use this one: list your labor and materials as lines, and write the descriptions yourself. It does not include trade-specific items or rates, so check that the wording matches the job.
The region you pick sets the currency, the tax wording, the fields and the number and date style. This is general guidance, not legal or tax advice, and rules change, so check with your tax office or accountant.
There is no single national invoice format, so the basics are enough: your details, the client, an invoice number, dates, itemized work, tax if you charge it, the total and your payment terms. Sales tax is set by each state, and sometimes by cities and counties. Many states do not tax labor on construction work. Some states require your contractor license number on contracts, estimates or advertising, so use the license field if yours does. Check your state tax agency and licensing board.
If you are registered for GST/HST, your invoice must show your registration number (nine digits followed by RT 0001) and the tax you charged. How much detail is required depends on the invoice total: at $150 or more, the Canada Revenue Agency also expects the client's name, the payment terms and a description of the work. Some provinces add PST, and Quebec has QST with its own registration number, so enter the combined rate you charge. Check the Canada Revenue Agency and your provincial tax office for the current rules.
A VAT invoice in the EU normally needs a unique sequential invoice number, the date of issue, the date of supply or the service period, the names and addresses of you and your client, your VAT ID or tax number, a description and quantity of the work, the net amount, the VAT rate and the VAT amount, and the total. If you are a small business exempt from VAT (in Germany the Kleinunternehmer rule, §19 UStG), charge no VAT and say so on the invoice. For business-to-business services to a client in another EU country, the reverse charge usually applies: charge no VAT, write "Reverse charge" and show both VAT IDs.
Germany is also phasing in mandatory e-invoicing between businesses, with structured formats such as XRechnung or ZUGFeRD, so a plain PDF will not be enough for every business-to-business invoice in future. Other EU countries have their own details. The EU preset uses A4 paper and the 1.234,56 € number style common in continental Europe.
Your business name, address and contact details, the client's name and address, a unique invoice number, the invoice and due dates, each job item with quantity and price, tax, any deposit already paid, the balance due, and how and when you want to be paid.
Yes. It is free to use, with no signup, no watermark and no paid version of the PDF.
No. The invoice is built in your browser and the PDF is created on your device. Nothing you type is uploaded or saved on our servers.
Add up the line items to get the subtotal, add tax on the subtotal, then subtract any deposit or payment already received. This template rounds the tax once to the cent, and if the amount paid is more than the total, the balance due shows as 0.
It depends on where you work and what you sell. In the US, sales tax is set by state and sometimes by city, and many states do not tax construction labor. In Canada, GST/HST applies if you are registered, and some provinces add PST or QST. In the EU, VAT applies unless you are exempt, for example under a small-business scheme. Ask your accountant or tax office before you choose a rate.
Yes. Pick the United States, Canada or Europe (EU) preset. It sets the currency (dollars, Canadian dollars or euros), the tax name, the fields that region needs, and the number and date style. The EU preset uses A4 paper and adds a supply date, your VAT ID, your client's VAT ID, and a note for small-business or reverse-charge invoices. The presets are general guidance, not legal advice.
Yes. It is a general line-item invoice, so you can list any labor or materials. It does not add trade-specific items, so enter your own descriptions and prices.
This template is a single invoice you fill in and download. ScopePad is a free app for contractors that also builds estimates, turns an accepted estimate into an invoice, tracks deposits, and flags overdue invoices.
